What we collect when you apply.
This covers the partner portal specifically. RODMENA's general privacy notice covers the main website and our services; where the two differ for partner applications, this page is the one that applies.
Who is responsible
RODMENA LIMITED is the controller for this data — not a processor. Registered in England and Wales, company 16472788, at 14 Keppel Row, America House, Flat 2, London SE1 0FB. Registered with the ICO under ZC202334.
What we collect
- About the firm
- Registered name, registration number, VAT number, country, website, year established, turnover band, headcount band and any certifications you tell us about.
- About you
- Your name, role, work email address and, if you give one, a telephone number.
- What you tell us
- What you intend to build or sell, the platforms and sectors you name, comparable work you describe, and how you heard about us.
- Technical
- The time you submitted, and whether and when you confirmed your email address. We do not run analytics, trackers, or any third-party script or font service.
Why, and on what basis
We use your application to assess it and to contact you about it. The lawful basis for your own contact details is Article 6(1)(b) — steps taken at your request before entering a contract. For information about the company, it is our legitimate interest in assessing a prospective partner, which we consider proportionate because you chose to send it and every field is one a procurement review would ask of a supplier.
Who sees it
Our partnerships team. Applications that are confirmed are recorded in Trace, our own customer and revenue system, which RODMENA operates on its own infrastructure. Email is sent through MailApi, also ours. We do not sell it, and no third party receives it for their own purposes.
How long we keep it
An application that is never confirmed lapses after 48 hours and is retained for 12 months, then deleted. A confirmed application is retained for the life of the relationship and for 6 years afterwards, which is the period a commercial contract may be enforced. If you withdraw before a decision, tell us and we will delete it.
Cookies
- __Host-partnerportal_session
- Set only after you sign in with RODMENA ID. It holds an opaque identifier for a session record on our server — no personal data and no token. Strictly necessary; expires after 8 hours.
- partnerportal_theme
- Set only if you use the light or dark toggle, so the page renders correctly on the first paint. A preference you asked for; expires after a year.
Your rights
You can ask for a copy of what we hold, ask us to correct it, or ask us to delete it. Write to gdpr@rodmena.co.uk, or rtbf@rodmena.co.uk for erasure. You can also complain to the Information Commissioner's Office.
